TEAM RESPONSIBILITIES:
Manage the bank account, accounting, expense tracking, and reimbursements
Create and manage the season budget with leadership; optimize spending
Lead sponsorships: prospect, pitch, negotiate, and fulfill packages
Nurture multi-season sponsor relationships
Seek new revenue sources and apply for grants for youth/Muslim organizations
Plan and run MIST NJ’s annual fundraising gala
YEARLY TIMELINE:
Fall: Finalize season budget, start sponsorship outreach, begin grant work, plan the gala
Winter–Early Spring: Track tournament expenses, steward sponsors, ensure package fulfillment
Post-Tournament: Reconcile accounts, complete reimbursements, deliver financial summary, pursue sponsor renewals, document budget improvements

TEAM RESPONSIBILITIES:
Brainstorm and execute engaging activities and events for the MIST community leading up to tournament weekend
Develop a variety of optional programs and experiences for competitors to attend during the tournament
Plan and run the Spirit Zone throughout MIST weekend with volunteer support
Collaborate with external organizations to bring valuable programming and resources to competitors
Identify, reach out to, and coordinate with speakers for events and tournament programming
Provide continuous programming during the tournament that gives competitors choice in how they engage
Interact directly with competitors to enhance the overall MIST experience
YEARLY TIMELINE:
Fall: Brainstorm programming concepts, begin outreach to external organizations and potential speakers, plan pre-tournament community engagement activities
Winter–Early Spring: Finalize tournament weekend programming lineup, confirm speakers and organizational partnerships, coordinate Spirit Zone plans, recruit and prep volunteers, execute pre-tournament events
Tournament Weekend: Run all optional programs and the Spirit Zone, manage speaker logistics, engage directly with competitors, adapt programming based on attendance and energy
Post-Tournament: Debrief with team, gather feedback from competitors, follow up with partner organizations and speakers, document what worked and ideas for next season

TEAM RESPONSIBILITIES:
Manage student registration via myMIST and serve as the primary point of contact for schools and teams
Build genuine, lasting relationships with competitors, parents, teachers, masajid, and community organizations to drive competitor recruitment across New Jersey
Develop new and creative outreach strategies to reach communities that haven't engaged with MIST before
Hold in-person and online recruitment and info sessions at schools and masajid
Create and maintain a network of school contacts, community leaders, and partners who champion MIST in their communities
Train the wider MIST NJ team on representing the organization: consistent messaging, talking points, and materials
Write, schedule, and send team emails and announcements.
YEARLY TIMELINE:
Fall: Map out target schools and communities, develop outreach strategies and materials, train the wider team on messaging, begin relationship-building, launch registration on myMIST, hold info sessions
Winter–Early Spring: Execute outreach pushes, deepen community relationships, track and follow up on registration numbers, keep the full team updated on progress, send regular updates to registered teams
Tournament Weekend: Support check-in and on-site registration needs, serve as a resource for teams
Post-Tournament: Gather feedback, evaluate what worked, document new contacts reached, plan improvements for next season

TEAM RESPONSIBILITIES
Serve as experts on the MIST Rulebook and ensure all competition rules and policies are followed.
Recruit and coordinate professional judges for all competition categories and prepare judge orientation materials.
Answer competitor questions regarding rules, categories, and competition processes throughout the season.
Design and coordinate competition logistics for tournament weekend.
Manage competition operations within myMIST, including registrations, rosters, coalitions, competition data, and tournament setup.
Support the Technology team with scorekeeping and competition data management.
Train and onboard moderators and competition volunteers, ensuring they are prepared to independently facilitate competitions.
Handle real-time competition issues, including finding last-minute judges, resolving disputes, and managing unexpected challenges.
Secure venues, referees, equipment etc. for Sports/esports Weekend, as well as organize logistics for a spirited and competitive pre tournament event all while upholding MIST core values
YEARLY TIMELINE:
Fall: Review and update the Rulebook, begin judge recruitment, host information sessions for new schools and teams, plan competition logistics and create moderator resources.
Winter–Early Spring: Finalize judges and prepare judge materials, respond to competitor questions, prepare MyMIST (registrations, rosters, coalitions, and competition data), train moderators and onboard competition volunteers
Tournament Weekend: Orient judges and volunteers, manage competition spaces and oversee competition flow, support scorekeeping and MyMIST operations, work alongside moderators and volunteers to troubleshoot issues and ensure competitions run smoothly
Post-Tournament: Gather judge and competitor feedback, complete the competition audit and finalize national qualifiers, document improvements for the following season

Develop the yearly theme and build all visual branding around it
Create informational graphics, flyers, and promotional content that follow the season's visual identity
Manage all social media platforms (Instagram, Facebook, TikTok) and engage with the audience
Capture photo and video content throughout the year and during tournament weekend
Manage and maintain the MIST NJ website and YouTube channel
Provide live tournament coverage, including social media posting, recap videos, and highlight reels
Design season merchandise based on the yearly theme
Support other committees with promotional materials and graphic design needs
Develop, manage, and follow the content calendar
Brainstorm and implement creative ideas for greater engagement and audience growth
YEARLY TIMELINE:
Fall: Develop theme, establish visual identity and templates for the season, begin regular social media posting, design merch, start building pre-season hype
Winter–Early Spring: Ramp up content promoting the tournament, support other committees with promotional needs, capture content at pre-tournament events
Tournament Weekend: Provide live social media coverage, capture photo and video content, document the event for recaps and highlights
Post-Tournament: Produce recap videos and highlight reels, post wrap-up content, gather engagement metrics, document what worked for next season

Develop and implement tech solutions to improve operations across all committees
Work closely with other committees to understand their workflows and identify areas where technology can enhance efficiency
Manage and maintain the myMIST registration and scorekeeping systems
Set up and oversee projector systems and other tech infrastructure during tournament weekend
Support the Competitions team with scorekeeping during the tournament
Build and maintain any internal tools, automations, or systems the organization needs
YEARLY TIMELINE:
Fall: Meet with each committee to understand their needs and pain points, begin developing tech solutions, familiarize the team with myMIST systems
Winter–Early Spring: Build and test solutions, refine tools based on feedback, ensure registration and scorekeeping systems are tournament-ready
Tournament Weekend: Set up and manage projector systems, run scorekeeping alongside Competitions, troubleshoot any tech issues in real time
Post-Tournament: Debrief on what worked, document systems and solutions for future seasons, identify improvements for next year

Plan and execute all operational logistics for MIST tournament weekend, including venue setup and breakdown, food service, decor, prayer accommodations, and security support
Recruit, train, and manage volunteers for tournament weekend and other events
Assist with venue scouting, selection, insurance, and contractual requirements
Support cross-committee initiatives and provide logistical support for pre-tournament events, including the annual fundraising gala
Coordinate vendor communication and manage day-of operational challenges
YEARLY TIMELINE:
Fall: Begin venue scouting and selection, start volunteer recruitment, support gala logistics
Winter–Early Spring: Finalize venue contracts and insurance, plan food and decor logistics, train volunteers, coordinate with committees on tournament needs
Tournament Weekend: Oversee all setup and breakdown, manage volunteers, coordinate food service and vendors, handle prayer spaces, respond to operational issues in real time
Post-Tournament: Debrief with team, document what worked and what to improve, close out vendor accounts

COORDINATOR POSITIONS FOR ALL TEAMS OPEN:
Help bring MIST NJ's programming and tournament to life. Coordinators work within one of 7 committees year-round — planning events, managing logistics, and collaborating across teams.
Expect two general meetings per month (1st & 3rd Sundays, 12–2 PM), plus committee work and event programming throughout the year. Volunteer hour documentation available upon request.
The Finance Team will consist of two co-heads and no coordinators. Please review the E-Board positions below if you are interested in a Finance specific role.
